V-Rooms Board Portal Announces iPad Compatibility

Thursday, September 29, 2011 9:50 am ET

Summary: The V-Rooms Virtual Board Portal now features iPad compatibility, which will provide board members with an easily accessible yet highly secure Internet-based electronic board book platform for managing director level communications and activities.

Atlanta, GA (PRWEB) September 29, 2011 — V-Rooms(TM) Virtual Board Portal, a product of Due Diligence Online, LLC, has launched its popular program in a format that is easily accessible on the iPad, which is gaining popularity in boardrooms on a global basis.

The iPad’s user-friendly features have increased the interest of directors and executive team members in online board portals as a way to facilitate communication among members of a company’s senior leadership team. Companies have found that the iPad’s simplicity, ease-of-use and portability make it an ideal tool for providing access to electronic board books. Most directors who, in the past, have insisted upon the paper based board books are welcoming the advantages and accessibility offered by the iPad.

In most instances during a board meeting, the board book is projected on a screen, while board members access the board book and any personal notes on their iPads. Although iPads are becoming the most popular device to access board portals, board members can still access board portals using a laptop or even a netbook. In essence, once a company decides to use a virtual board portal, directors have the liberty of choosing what device they use.

“We are excited to now offer our V-Rooms solution, which include both our V-Rooms Virtual Board Portal and our V-Rooms Virtual Data Room (VDR) platform on the iPad,” said Dan Bradbary, CEO of V-Rooms. “We are seeing the ongoing acceptance of secure cloud-based technology continue to accelerate, especially given the flexibility and mobility offered by tools like the iPad.”

Corporate governance is becoming increasingly more complicated. Board members, along with their associated committees, executives and outside consultants generate and share highly sensitive information relating to topics such as strategic alliances, potential acquisitions, compensation and litigation. Our iPad-based Virtual Board Portals can help companies meet the stricter regulatory requirements, with features such as electronic paper trails, multiple security layers and record retention features.

V-Rooms Launches Quick Virtual Data Room Set-up Program

Wednesday, August 24, 2011

Summary: Clients of V-Rooms take advantage of the rapid virtual data room set-up program which allows for hundreds, possibly thousands of files and users to be uploaded within hours.

Atlanta, GA (PRWEB) August 24, 2011 — V-Rooms, a product of Due Diligence Online, LLC launches a combined program for the rapid upload of folders/files and the deployment of this information to a vast audience of selected users. Using our combined program, thousands of files and hundreds of users can be set-up within a half a day

The V-Rooms Optimized Loading Tool (VOLT)is a PC based application that allows for the quick selection of folders and/or documents from an administrator’s computer for upload into a Virtual Data Room. VOLT works like a wizard with step-by-step instructions for folder/document selection and upload. The administrator can either upload entire folders and the documents contained within those folders to the virtual data room, or he can upload selected documents to an existing folder. Using this process, thousands of files can be uploaded into a virtual data room within a few hours.

In combination with our rapid file upload program, the administrator is also able to import an extensive list of proposed users from a spreadsheet template to quickly create user names. The users are then notified by the administrator, via a custom email, of their access to the virtual data room, along with the assignment of their temporary password which the user will be prompted to change upon initial login. With this “batch user creation” approach, the administrator is able to set-up and immediately notify hundreds of users within a couple of hours.

“These enhancements are in direct response to requests from our clients who need the ability to rapidly create a workspace for a new project or transaction. Also, this is especially important for those clients who are migrating from other virtual data room providers,” said Dan Bradbary, CEO of V-Rooms. “For those clients who are moving to V-Rooms, as part of our 12-Hour program, we are able to offer internal resources to assure that the transition moves quickly and seamlessly.”

In today’s economic environment, domestic and global deals happen quickly. The management tools that support these transactions must also be able to adapt to this rapid-fire environment, while still maintaining the essential security controls for the documents and intellectual property contained within their virtual data rooms. At V-Rooms, we continuously focus on our clients requirements in order to respond to this ever-changing regulatory and security landscape.

Virtual Data Rooms Become Communications Portals

Atlanta, GA July 20, 2011

Recognizing the increased interest in Portal software, V-Rooms Virtual Data Rooms has launched a separate website VBoardPortal to help organizations streamline their board of director communications while also identifying the needs for Legal Client Portals, Vendor Portals and Limited Partner Portals.

To address the growing need for secure, online communication portals, V-Rooms™, a product of Due Diligence Online, LLC, has launched a website to specifically assist corporations in setting up cloud-based electronic board book platforms for managing director level communications and activities.

The official launch of the Board Portal site will be featured at the Alliance of Merger & Acquisition Advisors – AM&AA 2011 Summer Conference in Chicago, July 19-21. V-Rooms Virtual Data Rooms has been a proud sponsor for the past five years and is the VDR provider of choice for many AM&AA members.

Also gaining popularity are Legal Client Portals which allow a law firm to securely communicate with its clients “outside of the firm’s firewall”. This secure platform provides a workspace for the active collaboration on a variety of documents, without the security concerns associated with allowing clients’ access to the firm’s computer servers. Likewise, Limited Partner Portals are becoming increasingly popular as Private Equity firms seek more efficient and secure ways to communicate with their investors.

“Based upon the demand and the growing acceptance of cloud-based systems, we are focusing on providing Board, Limited Partner and Client Portal solutions. This is a natural extension of our Virtual Data Room (VDR) platform which has been used to streamline thousands of financial and legal transactions over the past six years,” said Dan Bradbary, CEO of VRooms.

Although, the Board Portal concept was initially driven by the Sarbanes-Oxley Act to provide better corporate governance, corporate boardmembers have become more technologically savvy and weary of bulky board books. This Internet-based solution makes it easy for boardmembers to access, review and exchange crucial business data, even granting access permission for specific documents to external consultants and partners. This is essential in today’s highly mobile and regulated environment where board directors in various locations create logistical challenges for the directors themselves, as well as those individuals responsible for administering boardroom activities.

V-Rooms™ Six Tips for Board Portal Implementation

Dallas, TX, Jun 1, 2011

In following these tips for the implementation of an online board portal solution, public, private and non-profit organizations efficiently streamline their board of director communications.

V-Rooms™ Virtual Board Portal, a product of Due Diligence Online, LLC, has identified a number of tips to assure the successful implementation of board portals which, apart from their efficiency and convenience, can also play an important role in ensuring document security and regulatory compliance. As Directors are becoming more tech savvy, they are welcoming the transition from bulky hard copy board books and the required prepatory administration to this cloud-based information platform.

Here are Six Tips:

1. The Corporate Secretary champions the plan for adopting a cloud-based board portal with the Board Chairman and Key Directors citing cost savings, increased security and geographic convenience as key decision factors, especially for those Directors who travel frequently.

2. Select a dedicated Administrative support person who will be able to work with individual Directors regarding their initial training and any issues related to the board portal set up and access.

3. Use the board portal to inform Directors of news articles, press releases and even weekly corporate updates so that the board portal becomes a focal point for company information and the Directors become comfortable with its use.

4. Instead of using unsecure emails to send sensitive documents, use the board portal’s email alert and security features, so that Directors are alerted via email when documents have been securely uploaded to the board’s virtual boardroom, some of which may be hidden from management’s view.

5. Use the board portal voting function for electronic voting in lieu of email or phone conferences so that an auditable tracking report may be generated for compliance purposes.

6. Since the board portal is a dynamic environment, publish information for each committee when it is ready, while completing other materials, to allow involved Directors time for review prior to board or committee meetings.

As Boards continue toward conducting paperless meetings, the Directors who are not initially comfortable with this technology welcome the hands-on assistance from the board portal Administrator to facilitate this transition.

“Once Directors are shown the increased flexibility and remote access that board portals allow, we foresee a rapid adoption of this platform,” said Dan Bradbary, CEO of V-Rooms. “Tech savvy Directors are now used to turning to their BlackBerrys, iPhones and related tablets, and they expect to have information available to them anywhere, anytime. Our V-Rooms Board Portal provides this capability and reach to these critical personnel.”

V-Rooms™ Validated for Life Science Clinical Trial Document Management

Saturday, May 31, 2011

Summary: The utilization of V-Rooms Virtual Data Rooms allows medical device and pharmaceutical companies to accelerate medical advances to patients by providing a document management tool to expedite the steps from discovery and/or design concept to commercial marketing.

Atlanta, GA (PRWEB) May 31, 2011 — V-Rooms Virtual Data Rooms has completed accreditation of their software solution in compliance with FDA Code of Federal Regulations 21 Part 11 Electronic Records; Electronic Signatures which defines the requirements for the creation, transmission and retrieval of electronic documents associated with pre-clinical and clinical trials.

“The medical product development process for turning new laboratory discoveries into treatments or products that are safe and effective is no longer able to keep pace with basic science innovation,” said Karen Perkins, President of V-Rooms. “Today stranslational research and clinical trial facilities are swimming in information and drowning in documents. Critical changes are needed to improve this development process by establishing and using new technological tools for document and data sharing, organization and management.”

Our V-Rooms have been assisting life science companies, including medical device, biotech and pharmaceutical firms, in their fundraising and strategic partnering efforts for years,” said Dan Bradbary, CEO of V-Rooms. “With our CFR 21 Part 11 validation, we can now provide a cohesive document management solution for a secure, compliant and easy to use portal for clinical and preclinical documents generated during the study process”

V-Rooms Virtual Data Rooms fulfills a critical need for a central documents repository, rather than relying on email, fax or courier of documents. Data Rooms fill this need for a technological tool that allows facility staff members and key sponsor personnel to access all of a site’s documents residing in a central, real-time accessible location. Different levels of user access determine what information is available to each user, complete with automated audit trails detailing document usage.

The solution enables study directors, sponsors and facility team members to manage, organize and retrieve the massive number of documents that are used by all members of the team during the study and then provides a platform for the assimilation of final study findings. Reports that are generated and returned to a study sponsor would shorten the amount of time needed for the clinical trial process, which translates into thousands and in some cases, millions of dollars in cost savings.

V-Rooms™ Launches Board Portal Website

Atlanta, GA, May 18, 2011

Recognizing the increased interest in board portal software, V-Rooms™ Virtual Data Rooms has launched a separate website V-BoardPortal to help organizations streamline their board of director communications and improve calendar coordination.

To address the growing need for secure, online board of director communications, V-Rooms™, a product of Due Diligence Online, LLC, has launched a website to specifically assist corporations in setting up cloud-based electronic board book platforms for managing director level communications and activities.

For organizations to remain effective in today’s environment, their board members must travel frequently because of their geographic disbursement to work on a variety of projects. Meanwhile, they need real-time access to the company`s information to expedite decision making. There are a lot of logistics involved in these processes as directors and executives need to exchange timely and sensitive documents. Market conditions do not allow directors the luxury of waiting three months until the next board meeting. V-Rooms Board Portal solves these problems of time and distance, by providing a secure platform for information exchange and board calendar coordination via our proven online and globally available system 24x7x365.

“Based upon the demand and the growing acceptance of cloud-based systems, we have created a separate, focused website for our V-Rooms Virtual Board Portal solution. This is a natural extension of our Virtual Data Room (VDR) platform which has been used to streamline thousands of financial and legal transactions over the past six years,” said Dan Bradbary, CEO of V-Rooms. “On the new website, we will be providing suggestions and tips on how to implement a board portal and move away from hard copy board books, which by their very nature are costly and very cumbersome to distribute.”

Although, the Board Portal concept was initially driven by the Sarbanes-Oxley Act to provide better corporate governance, corporate board members have become more technologically savvy and weary of bulky board books. This Internet-based solution makes it easy for board members to access, review and exchange crucial business data, even granting access permission for specific documents to external consultants and partners. V-Rooms™ Virtual Board Portal – An Economical Alternative

Friday, May 6, 2011

Summary: The V-Rooms Virtual Board Portal provides boards of directors with a highly secure, yet economical, Internet-based electronic board book platform for managing director level communications and activities.

Atlanta, Ga (PRWEB) May 06, 2011 — V-Rooms™, a product of Due Diligence Online, LLC, has launched the Virtual Board Portal which serves as an online replacement for the cumbersome three-ring binders normally used for board meeting materials. At an annual base cost of only $3,000, the V-BoardPortal offers a significant cost savings, compared with the printing, binding and shipping of hard copy documents.

The Board Portal concept was initially driven by the Sarbanes-Oxley act to provide better corporate governance through timely information access and increased director visibility. Additionally, corporate board members have become more technologically savvy and weary of bulky board books. The web-based platform makes it easy for board members to access, review and exchange the crucial business data they need in order to make better, more informed decisions. Now administrators are able to build board books, upload new versions of documents and instantly distribute this information. Directors are able to search historic documents 24/7, access current information and even cast their vote in the Board Portal secure system.

“Our V-Rooms Virtual Board Portal is a natural extension of our Virtual Data Room (VDR) platform which has been assisting in streamlining financial and legal transactions for over six years,” said Dan Bradbary, CEO of V-Rooms. “We are able to easily tailor our full-featured VDR program to economically meet the needs of board members of public and private companies.”

Corporate governance is becoming increasingly more complicated. Board members, along with their associated committees, executives and outside consultants generate and share highly sensitive information relating to topics such as strategic alliances, potential acquisitions, compensation and litigation. The V-Rooms Virtual Board Portal provides corporate directors with a highly secure and cost effective web-based environment to manage this critical information. This is essential in today’s highly mobile and regulated environment where board directors in various locations create logistical challenges for the directors themselves, as well as those individuals responsible for administering boardroom activities.

V-Rooms™ Referenced as Virtual Data Room Provider in Gartner Report

Atlanta, GA, April 14, 2011

Gartner, Inc. – a leading information technology research and advisory company – identified V-Rooms™ as a provider of SaaS-based Virtual Data Room technology in a report recently released entitled “An Introduction to Virtual Data Rooms”

Gartner, Inc. – a leading information technology research and advisory company – identified V-Rooms™ as a provider of SaaS-based Virtual Data Room technology in a report recently released entitled “An Introduction to Virtual Data Rooms.” Virtual Data Rooms (VDR) are primarily used for financial, legal and medical document collaboration – all of which require the highly controlled exchange of proprietary and regulated information outside of the enterprise firewall.

A Virtual Data Room (VDR) is a secure, trusted portal for exchanging sensitive documents and information with those outside of an organization’s firewall – primarily nonemployees that may include investors, attorneys, accountants, regulators, bankers and potential buyers. VDRs host and serve documents, which may be created in-house or elsewhere, for end users to read online, download and possibly share with others, depending upon the privileges they have been granted.

“As Gartner began to explore the VDR space, we were pleased to be one of the firms that were interviewed for their research report,” said Dan Bradbary, CEO of V-Rooms. “Secure online communication portals are increasingly being used by organizations for the exchange of sensitive information now that executives are aware of the security shortcomings of distributing documents via e-mail and CDs in this era of WikiLeaks.”

Since information can be shared so easily with the touch of a button, the dilemma now is how to keep sensitive information confidential. As organizations share large volumes of documents for various operations and transactions, it becomes increasingly challenging to facilitate the required exchange and collaboration of reams of highly sensitive documents while maintaining control over who has access to this critical information. The V-Rooms Electronic Data Room system delivers valuable data about how and from which platforms and devices users are viewing, exchanging and printing documents. Having such an audit trail provides greater accountability in complex business transactions and helps to control “data leakage”.

V-Rooms™ Virtual Data Rooms 3G Solution Highlighted at ACG Intergrowth

Atlanta, GA, March 18, 2011

V-Rooms™ Virtual Data Rooms continues to enhance it third generation (3G) solution to provide additional information security features to address concerns highlighted by the recent release of confidential corporate information to Wikileaks.

V-Rooms , a product of Due Diligence Online, LLC and a leading provider of virtual data room (VDR) solutions, announced today that company management will be staffing the exhibit booth at the Association of Corporate Growth (ACG) InterGrowth 2011 Conference in San Diego (March 21-23), and that it will be highlighting these security features which are applicable well beyond M&A transactions into areas such as boardroom communications, life sciences and private equity fund administration.

With information sharing now available at the touch of a button in this era of the Internet, the dilemma is how to keep confidential information secure. As organizations share reams of documents for transactions and various ongoing operations, it becomes increasingly challenging to allow the open exchange and collaboration of large volumes of highly sensitive documents while maintaining limited, yet functional, access control.

“We have recognized the need to introduce additional administrative controls to our third generation (3G) VDR solution to allow our clients to better protect their assets and intellectual property. As we see the expansion of our V-Rooms program adopted for ongoing operations, such as board of director communications, the security of these documents becomes even more critical,” said Dan Bradbary, CEO of V-Rooms.

By providing the level of security that is available to keep documents secure within a corporate firewall, our virtual deal rooms allow secure collaboration with employees, partners, attorneys, bankers or other parties who may be geographically dispersed. Our system also provides even more useful data about how users are viewing, exchanging and printing documents, when, and from which platforms and devices. Having such an audit trail provides even more accountability in complex business transactions, and goes a long way in controlling the leakage of sensitive corporate information.

V-Rooms™ Offer Free Data Upload for Canadian Clients

Atlanta, GA (Vocus/PRWEB) February 04, 2011

V-Rooms™, a leading virtual data room (VDR) provider, is offering its Canadian clients free data upload services to save costs associated with Canada’s new metered Internet usage laws, referred to as Usage-Based Billing (UBB). Clients may simply mail their files on CDs or DVDs to the V-Rooms staff, which will then upload their data for free, saving clients money in not exceeding bandwidth caps.

With UBB, Internet Service Providers (ISP) may provide end users with a very low upload/download cap, and charge them as they exceed that allowable amount. Monthly caps recommended have been as low as 25GB. For users who are viewing hundreds, possibly thousands, of documents and files in conjunction with a merger and acquisition (M&A) transaction, the bandwidth may easily be exceeded.

For those Canadian companies who are involved in cross border transactions, V-Rooms provides for a significant cost savings since the V-Rooms servers and ISP are located within the U.S. Therefore, when these documents and files are accessed by non-Canadian based end users, the bandwidth limitations do not even come into consideration.

“We are offering this free data upload service for our Canadian clients. However, we feel that the costs associated with UBB upload/download bandwidth caps will prompt some companiesto move technologically backward, relying on paper, fax and courier services to exchangesensitive information. Actually, a new company is offering to download information, burn CDsand ship to their Canadian customers,” said Dan Bradbary, CEO of V-Rooms Virtual DataRooms. “In reality, this type of data bandwidth restriction will tend to push business out of Canada into other countries, such as the U.S., where these restrictions do not exist. We justwant to help our clients save money wherever they are located.”

In this era of the internet, when information sharing is at the touch of a button, the dilemma is how to keep sensitive corporate information confidential. With the current Wikileaks situation, having comprehensive document control features and audit trails will provide even more accountability in complex business transactions, and go a long way in controlling “data leakage”. The enactment of the Canadian UBB laws will be counterproductive to the handling of sensitive information and will be a technologically backwards step in the online sharing of corporate information.
